Renewing or Reactivating MLOs by Upload
Institutions can renew or reactivate large groups of MLOs at once by creating and uploading a renewal/reactivation file in CSV format.
About this task
Institutions with more than 100 eligible MLOs must use the upload process to submit renewals/reactivations. All institutions may use the MLO Renewal Batch Upload CSV file, which supports up to 10,000 MLO records at one time. Develop the upload file according to the MLO Renewal Batch Upload Specifications file.
Procedure
- Navigate to the NMLS Login page (Federal Context).
-
Log in to your NMLS account.
Note: If you are landed on the NMLS Connect screen, select NMLS Federal Registry in the Quick Links section.
-
Select the Federal context, if the
Context screen is displayed.
Note: Be sure you are in the Federal context by selecting Federal from the You are currently drop down list. Your screen should display the Federal Registry watermark.
- Click Renew/Reactivate.
- Click Submit.
-
Click Upload.
Note: The Renewal/Reactivation Upload screen opens.
-
Click Browse and select the MLO Renewal Batch Upload
CSV file that contains eligible MLOs for renewal/reactivation.
Note: The file must include only two columns: NMLS ID (required) and Renewal Group Name (optional). Institutions can generate this file by exporting and editing the Renewal/Reactivation Activity Report.
- Enter a description for the file (optional).
-
Click Upload.
Note: A gold bar message displays while the file is processing. Refresh the page to view processing results.
-
Review the processing results. Correct any rejected records, create a new file if needed, and re-upload.
Note: Common rejection reasons include invalid IDs, missing required fields, or ineligible MLO statuses. A detailed error list is available on the Renewal/Reactivation Uploads screen.
- Click the Unpaid link for the processed file to view the invoice.
- Click Pay Invoice and complete payment using an accepted method.
Results
After payment, MLOs included in the upload receive email notifications to attest to their records. MLOs must log in and attest by December 31 to remain Active. If they do not attest, their status changes to Inactive – Failed to Renew and requires reactivation.
