Key Terms for Renewal and Reactivation
Definitions of terms used in the federal institution and MLO renewal/reactivation process in NMLS.
Definitions
- Renewal Period
- The annual window (November 1–December 31) when institutions submit renewal requests and MLOs attest to remain Active for the next calendar year.
- Reactivation
- The process used on or after January 1 to restore registrations that became Inactive – Failed to Renew. Steps mirror renewal.
- Attestation
- The action by an MLO to confirm the accuracy of their record in NMLS. Required to complete renewal or reactivation.
- Renew/Reactivate tab
- The NMLS workspace where institutions submit institution and MLO renewals/reactivations, access uploads, and view invoices.
- Renewal/Reactivation Selection List
- The screen for manually selecting eligible MLOs for renewal/reactivation and adding them to the cart.
- Renewal/Reactivation Upload
- The process for submitting a CSV file of MLOs for renewal/reactivation; required when more than 100 eligible MLOs remain (supports up to 10,000 records).
- Renewal/Reactivation Activity Report
- An Excel report listing employed MLOs, eligibility, and status to plan submissions and monitor progress.
- Statuses (examples)
- Exempt, Not Requested, Pending Attestation, Renewed, Reactivated.
- Cart / Invoice
- Steps in checkout to confirm selections and pay renewal/reactivation processing fees (institution and per-MLO).
- Composite View
- Read-only views in NMLS to verify institution (MU1R) or individual MLO registration status and history.
- Nightly Renewal Email Notifications
- Emails sent to the institution summarizing MLO attestation completions for the prior day (high- or low-volume format).
- Renewal Group Name
- An optional value included in upload files to help segment MLOs (for example, by branch or business unit).
