Registering Your MLOs with NMLS
Institutions must register their Mortgage Loan Originators (MLOs) in NMLS by creating or uploading records, completing MU4R filings, confirming employment, and paying required fees. This section describes the institution’s responsibilities in that process.
- Institution Access to MLO Records in NMLS
  Institutions must have access to an MLO’s record in NMLS before they can view information or submit filings on the MLO’s behalf.
- MLO Batch Upload
  The MLO Batch Upload process allows institutions to register multiple Mortgage Loan Originators (MLOs) at one time by creating and submitting a batch file to NMLS.
- Institution-Initiated MU4R Filing
  Institutions can initiate and complete an MU4R filing on behalf of a Mortgage Loan Originator (MLO), which the MLO must attest to before submission and payment.

  Employment Management in NMLS allows institutions to confirm, reject, correct, or terminate Mortgage Loan Originator (MLO) employment records.

  Institutions can track the status and view the results of Mortgage Loan Originators’ (MLOs) Criminal Background Checks (CBCs) through NMLS.
  - Criminal Background Check
    Prior to registration, mortgage loan originators (MLOs) must submit fingerprints to NMLS (unless they already have fingerprints on file with NMLS) and authorize NMLS to process a criminal background check (CBC) with the FBI. The results of the CBC are returned to the employing institution through NMLS.
  - Group Appointments and Group Scheduling for Fingerprinting
    Prior to a group appointment or group scheduling, a Criminal Background Check Authorization must be submitted in NMLS for each individual that will be fingerprinted during the session. Each individual will need to print out and bring a copy of the Criminal Background Check Requests page from their NMLS account.

Managing MLO Criminal Background Checks

Institutions can track the status and view the results of Mortgage Loan Originators’ (MLOs) Criminal Background Checks (CBCs) through NMLS.

Institutions are responsible for monitoring the Criminal Background Check (CBC) status of their MLOs and reviewing results once they are available in NMLS. The CBC process ensures that MLOs meet federal requirements for registration under the SAFE Act.

NMLS provides institution users with tools to:

Check the status of CBC requests to see whether fingerprints have been taken and processed
View the final results of CBCs, including whether records are clear or if a RAP sheet is available
Identify and address cases where fingerprints are rejected, illegible, or expired
Access CBC results before confirming employment of an MLO

Results are only available to the institution; NMLS does not provide CBC results directly to individuals.
